Manage Settings

The Settings tab is where you can set up and manage your chart of accounts and customize Budgyt.

  • Manager Super Header
    • Edit your Super Header Name, Type, Order, and whether it is Active. (Super Headers are not required by all users, so they may be turned on/off in Preferences)
  • Manage Header
    • Edit your Header name, which Super Header it belongs to, the Order, and whether it is Active or not.
  • Manage Groups
    • Here you can edit the name, position, Header and mapping of your GL groups.
  • Manage Categories
    • Edit the name, code, type, position of your Categories, as well as which Group they roll up to, and which Departments they are assigned to.
  • Manage Region
    • Budgyt allows you to show Regions/Divisions on the dashboard. Here you can change names, codes, which Entity they belong to (If you have Entity switched on). Each Region is a collection of Departments.  You can manage the Alias (what you call a Region) in Preferences.
  • Manage Departments
    • Here you can edit Departments' names, codes, which Region it belongs to and which Categories are assigned to that Department. (Not all Categories need to be present in each Department). 
  • Preferences
    • Aliases - allows you to edit the names of several sections of your Budgyt model.
    • Hide Category Code - Show or hide the GL Account code on the dashboard.
    • Show LLY - LLY = numbers from 2 years ago, LY = last years numbers.
    • Does Corporate Store Have Sales
    • Display Cents
      • For Financial Categories - will show cents on the dashboards, and allow data entry at that level.
      • For Non Financial Categories - allows you to define how many decimal places (up to five) you wish to apply to a particular category when editing that category.
    • Name of Business
    • Show Percent to Sales
    • Reverse Var BGT % - useful for non profits that want to see a percentage remaining rather than percentage used.
    • Reports - Budgyt has a number of preset reports. Not all will be relevant to every business, so we allow some of them to be hidden from the report page. The next four items below also allow some customization of our Reports.
    • Total PL Report Format
    • Total PL Report View - detailed shows sub category data, summarized shows account level data.
    • Period Budget Comp Report Show
    • Quarter Budget Comp Report Show
    • Font Size in Reports
    • Header Categories - here we can hide some of the Headers in your COA
    • Format Year - allows a year to be labeled as 19/20 instead of 20 for instance.
    • Show Category in PLByCategory Dashboard - Determines whether this Dashboard shows all categories, or just the Group and Header level. Usually unchecking this option works better.
    • Expand Dashboard Categories - determines how the COA looks when Dashboard is opened, may be summary view, or Expanded to the Category level.
    • Hide Department Code on Dashboard
    • Show Activity Audits - allows Activity Log to be hidden.
    • Default Budget
    • Load Departments on Dashboard - If you have a large number of Departments (eg >50), your dashboards may load a little slower. Select 20, and the Dashboard will load the first 20 quickly, then you have the option to select from the Dashboard Departments drop down menu which Department or group of Departments you wish to view.
    • Show Super Header Category - There is an extra level of hierarchy available in your chart of accounts if you need it. Checking this box will reveal this extra level in the COA on the Dashboard, and also provide a Manage Super Headers item in the Settings menu.
    • Show Entity - this is an extra level of hierarchy in your departmental structure, above Region/Division.
    • Show Quickbooks Link - Reveals a link to QuickBooks in the Import/Export menu.
    • Show Connectwise Link -Reveals a link to Connectwise in the Import/Export menu
    • Show Xero Link - Reveals a link to Xero in the Import/Export Menu.
    • Turn on Approvals - switches on/off the approvals process
    • Require All Approvers Approval - switches on/off the multiple approver process.
    • Import Quickbooks Data From - allows mapping from either Class or Department within Quickbooks to our Departments in Budgyt on import.
    • QuickBooks Online Fiscal Year Type - Do you use a calendar year or a 4-4-5 spread.
    • Show Google Sign In Button - We have single sign on available with Google. If you don't want to use this, uncheck this option.
    • API Fiscal Year Start Date - What is the start date of your year in your accounting system (only relevant if we have an API to your accounting software).
    • Classes in Quickbooks Online have Codes 
    • Show Notes - shows notes on reports.
    • Show Employee Module - displays the navigation for the Employee Module
    • Turn On Department Periods - When checked you will be able to define a period for your Department. This is most useful if you are Project based and your Projects are Departments.
    • Payroll Start Period of Fiscal Year - Should be set to the first month of your fiscal year (eg if you have a July through June year, this should be set to 7). It determines when your payroll taxes start to be charged. Usually this will be set during your onboarding.
    • Import Notes In GL By Row - allows descriptive detail to be entered into the Notes icon on the right hand side of your Data Sheet when we import your actual data.
    • Show Dimension - Turns on the Dimension function when checked (for more on Dimensions, click here.
    • Turn on Parent Employee - Parent Employee allows you to split an employees payroll not only by Department, but also by Dimension and GL Account within a Department. This cannot be switched off once it is on, but is an choice within Manage Employees, and won't affect any current employees.
    • Alias for Periods - allows you to label each period (3 letters/numbers only)
