Budgyt's Dimensions feature allows you to tag each data point you enter, then filter by that tag so that not only can you see your numbers broken down by GL account and Department, but also by multiple Dimensions.
We may have switched on this functionality during your onboarding, but if it wasn't part of your initial setup and you would like to use it now, please email support@budgyt.com.
You'll notice a couple of things when you switch on Dimensions. First, there will be an additional menu on your dashboards, and second, the secondary description field on the Data Sheet will no longer be a free form description, but will display a drop down menu containing your list of Dimensions.
What is a Dimension?
A Dimension can be anything that you need to filter by. Here are some examples:
- Grants - our non-profit customers often use Dimensions for their grants, so they can see P+L by department, but also by Grant.
- Customers
- Vendors
- Projects
Basically anything which might be spread across multiple departments, which also has its own P+L.
How many can I have?
You can have as many Dimensions as you need, and each data point can be tagged with more than one.
For example, maybe you have a number of Projects, but also Project Types, and you wish to be able to easily filter by both. You could tag each data point in your budget as being related to a particular Project and Type. Or maybe Grants, and Restricted/Unrestricted.
How do I add/edit my Dimensions?
In Settings, you'll see an option for Dimensions, and one for Parent Dimension (this is the group name into which you will place your Dimensions). You can make changes here as you would for Departments or Categories. In Settings > Preferences, you'll be able to change the Alias for Dimension and Parent Dimension to use names that make more sense to your users.
How do I tag data with a Dimension?
On the Data Sheet, you'll see a drop down menu in the second descriptive field on each sub category row. Clicking here will display all your Dimensions. Simply enter a description, enter your data, and choose a Dimension, then hit Save.
If you have more than 100 Dimensions listed, this drop down will not show them until you start entering a name in the menu, then it will start searching.
How do I filter by my new Dimensions?
On each of your Dashboards, and on the Data Sheet, you'll see a menu labeled Dimension (or the Alias that you created for Dimension). When you open this, the first two options will say Any, and Blank. Any will be checked, and the rest of the list will be greyed out.
Any selects all data, there is no filter applied.
Blank selects any data that does not have any Dimension tags (this can be quite useful if you expect every entry to be tagged with something.
To select and filter by one of your Dimensions, uncheck Any, and choose that Dimension(s) and your Dashboard or Data Sheet will be filtered to only show data tagged with the options chosen.
